Create your account
Sign up with your email, your company name and the kind of lot you run: tow, scrap, both, or dealership. Your first lot is created for you.
Answer a few questions
The setup guide asks what the ground is, how big the lot is, what buildings and areas you have, and how vehicles park, for your kind of lot only. It draws the lot from your answers, or you pick a template. Then drag the corners to your fence line.
Check vehicles in
Tap Add, enter the VIN and details, and drag the car to where you parked it. Turn it to match how it sits.
Find, move, release
Search to light up any vehicle, move it as things change, set statuses, and release it when it leaves.
Add your drivers
Give each driver an access code (10 or more letters and numbers) in Team & codes. They open the app on their phone and enter it.
Keep an eye on it
Open the yard report to see what is aging, and export a CSV or a backup whenever you like.
Straight answers
Does the free trial need a card?
Yes. After you create your account you add a card at Stripe’s secure checkout and your 14 days start. Nothing is charged until the trial ends, and if you cancel before then you pay nothing. If you only want to look around, the live demo needs no account and no card.
What is the live demo?
A sample tow and scrap yard that runs in your browser only. Nothing you do in it is saved to the cloud or seen by anyone else, and it starts over with the sample yard 24 hours after you first open it. To keep real data, start a free trial.
Do I need to install anything?
No. Lot Helix runs in a phone or desktop browser. On a phone you can add it to your home screen so it opens like an app.
Where is my data stored?
In your company’s private workspace in the cloud. Every phone and computer signed in to your company sees the same lot, and a change on one shows up on the others within a second or two. Other companies can never see your yard. You can export your vehicles as a spreadsheet from the menu at any time.
Can my drivers use their own phones?
Yes. Add a driver under Team & codes and give them their code. They open lothelix.com/app on any phone, type the code, and land in your lot. Changes show up on every phone within a second or two. They can add Lot Helix to their home screen so it opens like an app.
Can it read a VIN from a photo?
Yes. Tap Photo next to the VIN box and snap the dash plate, the door sticker or the title. It works without a barcode. The VIN is checked with the standard check digit, and the year, make, model and type are filled in from the NHTSA database. You can always type it instead.
Does it work with no signal?
Yes. Once Lot Helix is on your home screen it opens with no connection and shows your last synced lot. Check cars in, move them, take photos and write invoices; the changes are saved on the phone and sync on their own when signal comes back.
Does it work for a dealership?
Yes. Choose Dealership when you sign up (or for any yard in Settings) and the lot uses dealer statuses: front line, in service, waiting for parts, detail and recon, loaner, demo, hold with deposit, sold, wholesale, transfers and delivered. Every unit is tagged new, pre-owned or certified pre-owned, with a stock number and asking price.
Are the fees it shows legally binding?
No. They are estimates for your own tracking, worked out from the rates you set. Towing, storage and notice rules vary by state and city, and you are responsible for following them.
Can I run more than one yard?
Yes. Add as many yards as you need. Each has its own layout, rates and workflow, so one company can run a tow yard, a scrap yard and a dealer lot side by side.
How is Lot Helix priced?
Per lot, by size. Tow and scrap yards are $75 a month up to 150 vehicles, $149 up to 300, $249 up to 600 and $349 beyond that. Dealer lots are $99 a month up to 50 cars for sale, $199 up to 150, $349 up to 300 and $499 beyond that. Customer cars in for service and trade-ins waiting on appraisal do not count. Companies with 5 or more lots get 10% off, and 15% at 10 or more. See Pricing.
