Terms of service
The rules for using Lot Helix.
The short version
- Lot Helix helps you keep track of vehicles. It is a tool, not a lawyer or an accountant.
- Fees and day counts are estimates. You are responsible for following your state and local towing, storage, notice and lien rules.
- Invoices you create are your own documents. You are responsible for their accuracy, the tax you charge, and what you may lawfully bill.
- New companies get a 14-day free trial that starts when you add a card. Nothing is charged until it ends. After that, each lot is billed at the price for its size, monthly or yearly, through Stripe. Cancel any time.

Using Lot Helix
You may use Lot Helix to track vehicles and equipment for your own business. Keep your password and your drivers’ access codes private, and only enter information you have the right to keep. You are responsible for what happens under your account.
Estimates, not advice
Day counts and dollar amounts are calculated from the rates you set. They are not invoices, legal notices or legal advice. Rules on what you may charge, when you must notify owners and when you may sell or scrap a vehicle differ by state and city. Check them before you act.
Free trial
Each new company gets a free trial of 14 days with all features. The trial starts when you add a card, and nothing is charged until it ends. When the trial ends without a subscription, your lot, vehicles and invoices remain available to view and export, but adding, editing and deleting records and creating invoices are paused until you subscribe. If you do not subscribe within 90 days of the trial ending, your data is deleted as described under After you cancel. Lot Helix is still young: features may change as we learn from real yards.
Subscription and billing
The free trial is one per business and starts when a card is added; nothing is charged until it ends, and cancelling before then costs nothing. A second sign-up for the same business, phone number or email gets a short trial instead of a full one, and we may close accounts made to avoid paying. After the trial, each lot (a yard or a dealer rooftop) you run is billed monthly at the price for its size tier shown on the pricing page, plus any sales tax that applies. Companies with 5 or more lots get the group discount shown there. A lot’s size is set by the vehicles that count toward it: for tow and scrap yards, the vehicles in the yard, not counting released or gone vehicles; for dealer lots, the cars for sale, not counting customer vehicles in for service and trade-ins waiting on appraisal. You choose each lot’s size and can change it at any time. If a lot stays over its size for 14 days, new check-ins on that lot are paused until it is moved to a size that fits; nothing is deleted. Adding a lot or moving one to another size changes your price, prorated for the rest of the billing period, and the change shows on your next receipt. You can pay monthly or yearly; a yearly plan costs ten times the monthly price, renews each year until you cancel, and when you cancel it stays on until the end of the year you have paid for, with no refund for the unused part of that year. The first 20 businesses whose subscriptions become paid are founding customers: we will not raise the prices for their plan sizes for as long as their subscription stays active. If a founding customer’s subscription ends, the founding price ends with it. Payments are handled by Stripe. When you subscribe, you allow us to charge your card each month, or each year on a yearly plan, until you cancel, along with any prorated charges for lots or sizes you add. If you subscribe during your free trial, the first charge happens when the trial ends. The app shows how full each lot is against its size and warns you before a lot outgrows it. You can update your card, see receipts or cancel at any time from Account in the app. When you cancel, Lot Helix stays on until the end of the period you have paid for, and is then read-only; we do not give refunds for part of a billing period. If a payment fails, Stripe will try again for a while before the account becomes read-only. We will email you at least 30 days before any price change, and a change takes effect on your next renewal after that notice. Complimentary accounts we set up by arrangement are not billed and may be changed or ended by us with 30 days’ notice.
Your data
You own what you enter. You can export it at any time. We use it only to run Lot Helix for you, as the privacy policy describes.
After you cancel
When you cancel, Lot Helix stays on until the end of the time you have paid for. After that your account is read-only: you can still sign in, view and export your data for 90 days. If you do not subscribe again within those 90 days, we delete your company’s yards, vehicles, photos, invoices and team, and deleted data leaves our backups within 30 more days. If you want your data deleted sooner, email [email protected] and we will delete it within 30 days. Export anything you want to keep before then; we cannot bring back deleted data.
Acceptable use
Do not use Lot Helix to break the law, to interfere with the service or other customers, to try to get into accounts or data that are not yours, or to store information you have no right to hold.
Suspension and termination
You can stop using Lot Helix and cancel at any time. We may suspend or close an account, with notice when we reasonably can, if it is not paid, if it breaks these terms, if it was opened to get around the one-trial-per-business rule, or if its use puts the service, other customers or the public at risk. If we close your account for a reason other than your breach, we will give you at least 30 days to export your data and refund any prepaid time you have not used. We may also stop offering Lot Helix entirely; if we do, we will give at least 60 days’ notice and a chance to export.
No warranty
Lot Helix is provided as is and as available, without promises that it will be error-free or always available, and without implied warranties of merchantability, fitness for a particular purpose or non-infringement, to the fullest extent the law allows.

To the fullest extent the law allows, Thrash Digital LLC is not liable for lost data, lost profits or revenue, towing, storage or lien disputes, or any indirect, incidental, special or consequential damages that come from using or relying on Lot Helix. Our total liability for all claims about Lot Helix is limited to the amount you paid us for Lot Helix in the 12 months before the event that led to the claim. Some places do not allow some of these limits; there, they apply only as far as the law allows.
Indemnification
You agree to defend and hold harmless Thrash Digital LLC and its owners from claims, losses and costs, including reasonable attorneys’ fees, brought by others that come from your use of Lot Helix, the information you enter, the fees you charge, the notices you send or fail to send, or your breach of these terms or the law.
